Template Status

The template state controls the basic visibility of a template for all users who are authorized to access this template. It uses the traffic light system to categorize where the template is in the template development process.

Each template can have one of the following states:

In Progress

This template is actively being edited and is only visible to system administrators and authorized template administrators - not for other users.

Use this state when you are actively working on a template that should not yet be visible to regular users.

In Test

This template is in the approval process and is currently being tested according to your internal process. It is only visible to system administrators and authorized template administrators - not for other users.

Use this state when the template is ready for internal review or testing but should not yet be released to all users.

Released

The template is released and therefore published. It is visible to all users who are authorized to see it.

Only set a template to Released when it has been thoroughly tested and approved for use by end users.


Working with Template Status

Visibility in Administration View

When you activate the administration view, you see all templates regardless of their status, as long as you have the required permissions. Templates that are hidden from regular users are marked with an eye symbol.

Tags

Tags (visible in the template editor's Properties tab) can be used to mark templates in order to group them with a color coding (e.g. for assignment to a specific department) and then search efficiently for these grouped templates. Tags are also used as a marker for calling from third-party systems with primedocs Connect.
