The four basic principles
primedocs is based on four basic principles. Anyone who understands these understands how primedocs works — and can make targeted use of the platform's capabilities.
The template principle
You never create documents from scratch; you always start from a template. With a single click, primedocs generates a finished document from it — you simply add the actual content and then continue using it like any other Office document.
You don't have to worry about fonts, colours, logo, or the header and footer: they are stored in the template and applied automatically, correctly, and in line with your corporate identity. This means all your organisation's documents are consistent — regardless of who creates them.
The Snippet principle
A Snippet is a stored block of content that you can insert into any document or email with a double-click. A Snippet does not have to contain only text — images, tables, formatted headings, and lists are also possible. It can be very short or several pages long.
This allows frequently used content to be stored once and reused as often as you like, without having to laboriously search for and copy it.
There are three types of Snippets:
- Own (personal) Snippets — created by you and visible only to you.
- Shared Snippets — maintained centrally and available to everyone or to specific user groups.
- Template Snippets — available specifically within a particular template.

The user profile
A profile links your personal data with the data of an organisational unit. When generating a document, primedocs uses the active profile to fill in fields such as name, title, phone, department, and company address automatically.
A person can have multiple profiles, for example for different roles:
- Markus Muster, Head of Engineering
- Markus Muster, Security Officer
- a third-party profile that has been shared by its owner for deputisation
When you switch profiles, the sender details used in the document change automatically. Details under Set up your user profile.
Central template distribution
Templates, user profiles, and shared Snippets are maintained centrally on the server and distributed automatically (roughly every 15 minutes) to the local clients. This means all users always work with the current templates, without anything having to be updated manually.
Only the shared Snippets are stored on the server. On the client, both the shared and your personal Snippets are available.
