Organizational Unit Management

Organizational units (OUs) represent the structure of your organisation within primedocs. They form a hierarchy — for example, company → department → team — and determine which templates, fields, and settings are available to users assigned to a given OU.

Documents in primedocs are always generated via a profile, and every profile is linked to exactly one organizational unit. The OU therefore defines the organisational context of every document created.

Hierarchy

Organizational units can be nested to any depth. Fields, color themes, font themes, and signature rules defined on a parent OU are inherited by all child OUs. A child OU can override inherited values at any level.

Who Can Manage Organizational Units

Only users with the Org (Organisation Administrator) role can create, edit, or delete organizational units. The Sys (System Administrator) role includes this permission as well.

Creating an Organizational Unit

  1. In primedocs Desktop, open the Organisation tab in the ribbon.
  2. Click Organizational Units.
  3. Use Create sibling to add an OU at the same level as the selected one, or Create child to add one level below.
  4. Enter a Title and fill in any required fields.
  5. Click Save.

Editing an Organizational Unit

Select an OU in the tree, make your changes, and click Save.

Deleting an Organizational Unit

Select the OU and click Delete. Deletion is only possible if no profiles are currently linked to that OU.

Moving an Organizational Unit

Select the OU and click Move to reposition it in the hierarchy.

Duplicating an Organizational Unit

Duplicate creates a copy of the selected OU including its field values at the same level in the hierarchy.

Organisational Fields

Each OU has a set of configurable fields that contribute to the organisational data available in templates (e.g. company name, address, logo). Fields not explicitly set on a child OU are inherited from the parent.

Two special field types are also available on OUs:

  • Color Themes — Define the CI/CD color palette made available to users.
  • Font Themes — Define the fonts and bullet point styles available to users.

Permissions on Organizational Units

Access to an OU can be restricted so that only authorised users or groups may assign it to a profile. This is configured via the Permissions button in the ribbon when an OU is selected.

When a restriction is set, only users or groups with explicit read access can see and use that OU.
